Websites, portals and automation for accountants and bookkeepers

The short answer

An accounting or bookkeeping firm's website has to do two jobs that pull in opposite directions: bring in the right clients with clear service pages, and stop the existing ones from emailing photos of receipts at midnight in March. Redenn builds firm sites with a secure client document portal, onboarding automation and consultation booking, from CA$499 for a Business site and a Custom quote for a full portal.

The problems we hear from accounting and bookkeeping firms

  • Tax season is a flood of emailed photos, texts and drop-offs, and half the files are missing something.
  • Onboarding a new business client takes hours of back-and-forth before we can start.
  • Clients call to ask if their return is done, which is a question a status page could answer.
  • The site lists services in accountant language and prospects cannot tell if we are for them.
  • We want fixed-fee packages for small businesses but the site has no way to explain or sell them.
  • We are careful about designations and what we claim, because CPA is a protected title.

The solution architecture

Each piece maps to a real Redenn service with a published price.

  1. A secure client document portal

Clients log in, see a checklist for their file, upload documents and see status. Staff see what is missing across every client. Built as custom work on Redenn Dynamic hosting; nothing sensitive travels by plain email.

    Customer Portal
  2. Onboarding that runs itself

A new client completes an intake form, receives the engagement letter and checklist automatically, and gets reminders until the file is complete. The firm starts work with a full file.

    Document Automation
  3. Service pages written for the client, not the profession

Pages for the situations prospects search for: small business bookkeeping, corporate year-end, personal tax, incorporated professionals, self-employed and rental income. Each explains what you do, what you need from them and how fees work.

    Website Development
  4. Fixed-fee packages explained and sold

A pricing page for bookkeeping and compliance packages with what is included, who each is for and a way to start, so a small business owner can choose without a call.

    Conversion Optimization
  5. Consultation booking

Discovery calls booked into a partner's calendar with confirmations and reminders, and a short pre-call questionnaire so the meeting is useful.

    Appointment Automation
  6. A CRM for prospects and recurring clients

CRM Setup with a prospects pipeline and a client list with service, deadline cycle and status, so the firm sees at a glance who is onboarded, who is missing documents and who is complete.

    CRM Setup
  7. Local and AI search for your niche

Google Business Profile with the right categories, plus niche pages (for example, bookkeeping for trades or for trucking companies) that an AI assistant can cite when someone asks who serves that niche.

Where accounting and bookkeeping firms usually start

How customers find an accountant in Canada

Individuals search for an accountant near them in February and March, or for a specific situation such as rental income or a first year of self-employment. Business owners are referred by a lawyer, a banker or another owner, then check the website to see whether the firm understands their kind of business. Niche clarity wins that check; a generic services list loses it.

Google states that its AI features in Search use the core Search index and ranking systems with no special requirements beyond standard SEO practice, so pages that explain a service for a specific kind of client, with accurate business information, are what get surfaced, in classic results and AI summaries alike.

What an accounting firm website must do

It should tell a prospect whether the firm is for them, make starting easy, and move existing clients into a portal instead of an inbox.

Automation and CRM for accountants

The single most valuable change for most firms is moving document collection out of email. A portal with a per-client checklist and automatic reminders replaces hundreds of messages in tax season, and the status page replaces the calls. Onboarding automation is the second win: the engagement letter, the checklist and the reminders go out the moment a client signs up.

Worked example at published prices: a Business site at CA$499, Payment integration from CA$99 for package deposits (processor fees separate), CRM Setup from CA$299 and an onboarding workflow from CA$149, hosted on Redenn Business at CA$199/year. A full client portal is quoted as Custom with a fixed price and ship date and runs on Redenn Dynamic at CA$49/month or Redenn Pro Managed at CA$99/month.

  • Engagement letter and checklist sent automatically at signup.
  • Missing-document reminders per client until complete.
  • Status visible to the client without a phone call.
  • Deadline-cycle reminders to staff for each recurring client.

Compliance and trust

The CPA designation is protected and regulated by the provincial CPA bodies; use it only as held, and describe bookkeeping services without implying a designation the firm does not have. Never present tax outcomes as promises. If the firm has 50 or more employees in Ontario, the AODA requires public websites to conform to WCAG 2.0 Level AA.

Client documents are sensitive personal and financial information. PIPEDA, or the substantially similar law in Quebec, British Columbia or Alberta, applies, and Quebec's Law 25 adds obligations such as a designated privacy officer and a privacy policy. The portal uses authentication and access controls, and retention follows your policy. Newsletters and deadline promotions need CASL consent and an unsubscribe option. Quebec firms must make the site available in French.

Questions

Can clients upload documents securely?

Yes, through an authenticated portal with a checklist and status, built as custom work on Redenn Dynamic hosting. A simpler secure upload form is possible for smaller firms.

Can the site sell fixed-fee bookkeeping packages?

Yes. A pricing page explains packages and a payment link or checkout (Payment integration from CA$99; processor fees separate) takes a deposit or first payment.

Does the portal integrate with our accounting software?

The portal handles collection, checklists and status. Integration with your practice software depends on its API; we confirm the path before quoting.

What does an accounting firm website cost?

Business at CA$499 covers five pages with the search foundation. A client portal is quoted as Custom. Onboarding automation starts at CA$149 and CRM Setup at CA$299.

Can we call ourselves accountants if we are bookkeepers?

Describe the services you provide and the credentials you hold exactly. The CPA designation is regulated provincially; do not imply it if the firm does not hold it.
