Lead follow-up automation: nobody waits, nobody is forgotten

The short answer
Lead Follow-Up Automation replies to every new enquiry within seconds, reminds your team until someone responds, and applies hand-off rules so a lead that is not handled in time goes to someone who will handle it. It is built and tested from CA$149 one-time and works with website forms, chat, Meta lead forms and the AI Receptionist.
What changes
- Every enquiry gets an acknowledgement with a realistic response time, day or night
- Your team is reminded until the lead is actually contacted, not just seen
- Leads that stall are escalated to a second person by rule
- Nothing depends on someone remembering to check the inbox
What is included
- Instant reply by email and, with consent, SMS for every lead source
- Team alerts by email, SMS or WhatsApp with the lead details
- Reminder schedule until the lead is marked contacted
- Escalation rules by time, service or value
- Lead status tracked in your CRM or a simple shared list
- Testing with real submissions before go-live
How it works
- 01
Map the sources
Forms, chat, ad lead forms, phone: we list where enquiries come from and where they should land.
- 02
Design the rules
Who is alerted, how fast, what the reminder schedule is, and when a lead escalates.
- 03
Build and test
The workflow is built and tested with real submissions from each source.
- 04
Go live and review
Live with a shared view of open leads, and a check after the first month on what slipped.
Who this is for
Businesses that pay for leads or compete on speed: HVAC and roofing companies running ads, mortgage brokers, realtors, immigration consultants, renovators. When several businesses receive the same enquiry, the first useful reply usually wins the conversation.
It is unnecessary if you receive a handful of enquiries a month and answer them within the hour yourself. Automation earns its keep when volume or working hours make that impossible.
How it works
A default timeline we adapt to your business. Each step is a rule, not a reminder in someone's head.
| When | What happens | To whom |
|---|---|---|
| Immediately | Acknowledgement with a response time and a way to reach you now | The lead |
| Immediately | Alert with the lead's details and source | Assigned team member |
| After 1 hour with no contact | Reminder | Assigned team member |
| After 4 hours with no contact | Escalation | Owner or second person |
| Next business day | Second reminder and a status prompt | Assigned team member |
| After 3 days, if the lead went quiet | One polite check-in, if consent allows | The lead |
What it costs
Lead Follow-Up Automation is from CA$149 one-time. It works best on top of CRM Setup from CA$299, so leads have a status and an owner. SMS steps carry carrier usage fees billed separately; email steps use your existing email provider.
Limitations and honest notes
Automation does not close deals. It makes sure a person gets the chance to; if the team ignores the reminders, the workflow only proves that they did.
A reply to someone who just enquired is expected by them. Ongoing promotional messages after that need consent, identification and an unsubscribe under CASL, and the workflow is built that way.
Redenn does not guarantee more sales. We guarantee that every lead is acknowledged and that you can see which ones were dropped.
Questions
Which tools does it work with?
Website forms, chat, Meta lead forms, the AI Receptionist and most CRMs with an API. We build on the tools you already use where possible.
Does it text the lead?
It can, with consent captured on the form. Many businesses use email for the acknowledgement and SMS for the team alert.
What happens after hours?
The lead gets an honest acknowledgement with the next available time, and the alert waits or goes to whoever is on call, by your rule.
Is this the same as a CRM?
No. The CRM stores and tracks leads; the automation moves them. Together they give you a pipeline nobody has to remember.
