CRM setup that matches how you actually sell

The short answer
CRM Setup configures an off-the-shelf CRM around your real pipeline: the stages a lead moves through, the fields you need, who owns what, and the forms, chat and phone that feed it. It is from CA$299 one-time, includes importing your existing contacts and a training session, and leaves you with a system your team will use on Monday.
What changes
- Stages that match your sales process, not the vendor's template
- Every lead source lands in the CRM with its origin recorded
- Contacts imported once, cleaned and deduplicated
- The team knows what to do with a lead at each stage
What is included
- Pipeline workshop: stages, entry and exit rules, owners
- Fields, tags and required data for each stage
- Users, roles and permissions
- Forms, chat, booking and phone connected with source tracking
- Contact import with deduplication and consent status
- One training session and a one-page guide
How it works
- 01
Pipeline workshop
An hour with the people who sell, mapping how a lead really moves from enquiry to won.
- 02
Configure
Stages, fields, users and automations built in the CRM to match the map.
- 03
Connect and import
Lead sources wired in with source tags; existing contacts cleaned and imported.
- 04
Train and review
Training on your own data, then a check after a month on what is and is not used.
Who this is for
Businesses that have chosen, or are about to choose, an off-the-shelf CRM and want it set up by someone who has done it before. Trades with quotes to chase, realtors and brokers, immigration consultants, law firms with intake.
If you are not sure whether you need a CRM at all, start with the CRM overview page. If your process is unusual enough that no product fits, the Custom CRM page has the fit test.
What we set up
| Element | What we do | Why it matters |
|---|---|---|
| Pipeline | Stages with clear entry and exit rules | Everyone agrees what 'qualified' means |
| Fields | Only the data you will actually use, some required by stage | Records stay complete without becoming a chore |
| Users and roles | Who sees and edits what | Privacy and accountability |
| Lead sources | Forms, chat, booking, phone and ad forms connected | No lead lives outside the system |
| Source tracking | Origin recorded on every record | You learn which marketing works |
| Import | Existing contacts cleaned, deduplicated, consent noted | A clean start instead of a messy one |
| Training | One session on your data plus a one-page guide | The team uses it from day one |
What it costs
CRM Setup is from CA$299 one-time. Connecting additional lead sources later is CRM integration from CA$99. Lead Follow-Up Automation from CA$149 is the usual next step. The CRM vendor's subscription is paid directly to the vendor and is not included.
Limitations and honest notes
Setup makes the CRM fit; it does not make people use it. The one-month review tells you honestly whether adoption is happening.
Imports are only as clean as the source. Years of inconsistent spreadsheets take longer to clean, and we quote that separately if it is substantial.
Contacts imported without a consent record cannot be emailed promotionally under CASL until consent is obtained. We flag them so you know.
Questions
Which CRM platforms do you set up?
The established small-business CRMs with proper APIs. We recommend based on your pipeline and budget and are not tied to a vendor.
Can you migrate from a spreadsheet or another CRM?
Yes. Contacts, companies and open deals are exported, cleaned, deduplicated and imported with their history where the source allows.
How long does CRM setup take?
Typically one to two weeks after the pipeline workshop, depending on how many sources are connected and how clean the import is.
What if we outgrow the CRM?
Data in an established CRM exports cleanly. If your process later demands a custom build, the export is the starting point.
