Websites, trial follow-up and automation for gyms and studios

The short answer

A gym or studio sells a habit, so the website's job is to get someone through the door for a trial and the automation's job is to follow up until they join, then help them keep showing up. Redenn builds gym sites with trial capture, a follow-up sequence, class schedules that use your membership software, and clear membership terms, from CA$799 for a Business Plus site.

The problems we hear from gyms, fitness studios and martial arts schools

  • People sign up for a free trial and never come; we have no system to follow up.
  • The class schedule lives in our membership app and the website shows a screenshot.
  • Membership questions by phone are the same ten questions every day.
  • Members quietly stop coming and we find out when they cancel.
  • Leads come from Instagram and land in DMs that nobody owns.
  • We are not sure what the rules are for membership contracts and cancellations in our province.

The solution architecture

Each piece maps to a real Redenn service with a published price.

  1. Trial capture and follow-up

A trial or intro-offer form with an instant reply, a booking for the first visit, a reminder, and a sequence of check-ins after the visit until the person joins or asks to stop. The sequence is where trials become members.

    Lead Follow-Up Automation
  2. Class schedule and booking from your software

The schedule embedded from your membership platform where it offers one, so classes, waitlists and bookings stay in one system and the website never shows a stale screenshot.

    Booking Systems
  3. Membership pages with terms in plain words

Pages for each membership and program with pricing, what is included, and cancellation and freeze terms stated clearly, with a signup path that goes to your membership software.

    Conversion Optimization
  4. The ten questions answered by chat

AI Website Chat trained on your memberships, schedule and policies answers the daily questions and captures a trial sign-up when the person is ready.

    AI Website Chat
  5. Missed-visit nudges for retention

Where your membership software can share attendance, a friendly message goes to members who have not visited in a while, with a class suggestion. It is retention, not marketing, and it is sent only to members who consented.

    Email Automation
  6. Instagram leads owned by someone

A link-in-bio page and a DM reply routine that send interested people to the trial form, so leads land in the CRM with a source instead of an unread inbox.

    Social Media Management
  7. A lead pipeline with sources

CRM Setup with trial, visited, joined and lapsed stages, and the source of every lead, so you know whether Instagram, search or referrals fill the floor.

Where gyms, fitness studios and martial arts schools usually start

How customers find a gym in Canada

People look for a gym or studio near home or work, in January and September more than other months, and they choose on proximity, vibe, price and whether the schedule fits. They look at photos and social media, check the schedule, and want a trial or intro offer that is easy to start. The trial visit is the sale; the website is what gets them to it.

Google states that its AI features in Search use the core Search index and ranking systems with no special requirements beyond standard SEO practice. A maintained Google Business Profile, program pages that describe who each class is for, and accurate hours are what get surfaced, in classic results and AI summaries alike.

What a gym website must do

It should get a trial booked, answer the questions that fill the phone, and send members to the software they will use every week.

Coaches pageCredentials as held; the trust page.
Member login linkSends members straight to the app or portal.
Link-in-bio pageOne page for social traffic that leads to the trial.

Automation and CRM for gyms and studios

The trial follow-up sequence is the automation that matters most, because most trials that do not join were never followed up. Second is the missed-visit nudge, because members who stop coming cancel later. Both connect to the membership software where it allows it, and both are built with consent and stop rules.

Worked example at published prices: Business Plus at CA$799 with booking and a CMS, Lead Follow-Up Automation from CA$149 for trials, CRM Setup from CA$299 and AI Website Chat from CA$99/month, hosted on Redenn Business at CA$199/year. A Growth System from CA$1,299 bundles chat and CRM integration for a studio with several programs.

  • Trial acknowledged, first visit booked and reminded.
  • Post-visit check-ins until the person joins or opts out.
  • Missed-visit nudge with a class suggestion for consenting members.
  • Every lead recorded with its source.

Compliance and trust

Some provinces regulate gym and fitness membership contracts under consumer protection law, including cancellation rights and how contracts must be presented. Confirm the rules for your province and state your terms clearly on the membership pages and in the signup flow; the site is built so the terms are visible before anyone commits. Coach certifications should be shown as held.

Trial follow-ups, promotions and retention messages are commercial electronic messages under CASL and need consent, identification and an unsubscribe option; a reminder for a booked class is not. Health-related intake, such as a fitness questionnaire, is sensitive personal information under PIPEDA or the equivalent provincial law and should be collected only when needed and stored privately. Quebec gyms must make the site available in French.

Questions

Can the schedule come from our membership software?

Yes, where the platform offers an embed or a public schedule. Bookings and waitlists then stay in that system and the website is always current.

How does trial follow-up work?

A trial sign-up gets an instant reply and a first-visit booking. After the visit, a short sequence of check-ins goes out and stops when the person joins, replies or opts out. Wording and timing are set with you.

Are retention messages allowed under CASL?

With consent, yes. Members opt in at signup, every message identifies the gym and includes an unsubscribe option, and class reminders for booked sessions are not promotional.

What does a gym website cost with Redenn?

Business Plus at CA$799 is the usual fit because it includes booking and a CMS. A Growth System from CA$1,299 adds chat, CRM integration and the Search + AI Foundation.
